Introducing Future PPM: a live dashboard for the agreements that keep your buildings safe

We’ve built a single, live home for every planned preventative maintenance agreement – replacing PDFs, lost emails and last-minute renewals with one trusted record. 

 

Anyone managing a residential block knows the rhythm. Fire alarms, smoke vents, emergency lighting, dry risers, door entry, CCTV, EV charging, solar PV – every one of them needs servicing on a 12-monthly cycle, every renewal needs a signed agreement, and every signed agreement needs to come back in time to keep the building compliant. 

Until recently, that paperwork was a PDF. We sent it; you printed it, signed it, scanned it and sent it back. Most of the time it arrived. Sometimes it didn’t. 

Across the thousands of live PPM agreements we manage, we kept seeing the same pattern – agreements lost in inboxes, renewal dates slipping, and hours every month spent chasing. So we built the answer. 

A single, live dashboard for every agreement 

The new Future PPM dashboard gives every client a single, live home for every PPM agreement we hold with them. Log in, and you see exactly what we see: this year’s price next to last year’s, the full-service history of every system on the building, the renewal date counting down, and the option to accept, pause or query in one click. 

When you accept, every relevant department in our business – fire, lighting and electrical, security, EV charging, decarbonisation and regeneration – is notified the same minute. No emails. No coordination meetings. The work goes straight into the schedule. 

When you pause – perhaps because there’s a question about funds, or something on site needs discussing first – it routes through to our operations team rather than disappearing into a thread. 

Built for property managers running portfolios 

We built this for the property managers running busy portfolios across multiple sites – sometimes 10 or more blocks under a single contract – and who don’t have time to chase paperwork. The dashboard automatically reminds clients when a renewal is approaching, so compliance no longer depends on whether anyone remembered to dig through their inbox. 

Every system covered by the agreement – fire safety, electrical, security, EV charging, solar PV and the regeneration services that keep a building presentable – sits under one renewal cycle, one record, one place to look. 

The early feedback from clients has been the part of the launch we’re most encouraged by. The phrase that keeps coming back is “finally.”
